Job application system

Designing a user-friendly Job Portal for a client in the automotive industry. The project included UX/UI design, strategic thinking and implementation of a 3-stage plan over two years.

The situation

The situation

Client: Established automotive supplier with €635Mio in sales and 7.000 employees.

I was the UX/UI Designer for the "Job Portal" which was a web application for candidates that wanted to pursue a career in the automotive industry.

Tens of thousands candidates are expected to use the Job Portal in the next 5 years.

Agile methodology

Agile methodology

  • Daily stand-ups, weekly summaries

  • Cross-functional team

  • Monthly sprints

What was my process?

  • Research. Why are we doing this? (Who are the users? What is the product? What are the goals? Competitors?)

  • Document

  • Communication management (project manager, product owner, engineer)

  • Create early designs and discuss them with stakeholders (keep everyone in the loop, to prevent big surprises, check technology with engineer)

  • Iterate & test (user test where possible)

  • Create dummy prototypes and discuss with stakeholders

  • Iterate & test (user test where possible)

  • Handover for implementation

  • Support implementation

  • Overlook publication

Project objectives:

  • Digitize the application process

  • Apply a user-centered design approach to create a new product

  • Keep the stakeholders happy

Existing process:

The HR department used to upload PDFs on the website and the candidates applied via email. In a few words, there was no digital process implemented.

Research:

  • Who are the competitors?

  • Who are the users? Is there data from the previous process?

  • Are there similar products out there?

  • What data protection laws should I be aware of?

Documentation:

Clear and simple documentation helps stakeholders understand and accept the learnings of research.

  • The results were presented to stakeholders in a meeting.

  • Discussed and edited the document where it was needed.

  • The document was shared and saved for future reference.

UX and UI goals

UX and UI goals

  • Create a simple and elegant interaction.

  • Group similar information together.

  • Show only the absolutely necessary information in each step.

  • Create a stress-free experience.

  • Make sure that the product is responsive for mobile devices.

  • Make sure that the product performs consistently and reliably.

Did we succeed?

Did we succeed?

For technical reasons I didn't have access in analytics. Luckily this was clear to me early in the process, so I asked for the developer's help. He created a script that tracked the amount of days that a job ad stayed online (the only measurable value). The script was activated at the beginning of the design process, so we had about three months worth of data before our Job Portal was published. In a similar way we kept track of the job ads for six months after the launch of the product.

In the online portal, job ads stayed online 48,7% fewer days (average) or 2 weeks less than before. With that we can safely deduct that more candidates applied for each opening and that our client was finding talent much faster. In conclusion, a successful product.
